This module is used to file employee requests and should be submitted for approval.
To create, go to Requests module, click Add [+] button.
Select a request type that matches to your need. Request forms are:
- Attendance Sheet Form
- Change of Shift Form
- Leave Form
- Official Business Form
- Offset Form
- Overtime Form
- Time Logs Form
- Work Request Form
ATTENDANCE SHEET FORM
- This form allows the employee to input their attendance for the cut-off period by indicating their time in and time out.
- Overtime and Leave can also be indicated in this form.
ATTENDANCE SHEET FORM
- Once details are completed, select status action then click Submit.
CHANGE OF SHIFT FORM
- There are 3 main categories of change of shift.
- Specific Dates
- Set as Default
- Next Shift Out
- It is important to remember 2 rules in this form. 1 is that it follows the most recently filed form. 2 is that specific dates governs over default. See the following examples:
- Employee filed 8am default then 10am default an hour later : 10am governs
- Employee filed 8am specific then 8am default an hour later : 8am governs
- Employee filed 8am specific then 10am specific an hour later : 10am governs
- Enter change of shift information. Highlighted in red indicates required. Once details are completed, click Submit.
LEAVE FORM
- Leave can be filed using this form.
- There are basically 2 types, one that uses credits and one that doesn't use credits. Vacation Leave, Sick Leave are samples of leaves that uses credits while Leave without pay is an example of one that does not.
- Filing a leave that doesn't use credits will simply result in under time. This options only serves for documentation and performance evaluation purposes.
- Enter leave information. Highlighted in red indicates required. Once details are completed, click Submit.
OFFICIAL BUSINESS FORM
- This form is usually used to replace logs in the event that an employee cannot use the bio-metric system or is outside of office.
- This can also be used if an employee was not able to time out or time in from the biometrics properly.
- This however may require approval based on the workflow set up by HR or your administrator.
- Enter official business information. Highlighted in red indicates required. Once details are completed, click Submit.
OFFSET FORM
- This form is similar to Official Business in which details added is related to the employees time in and time out.
- The purpose of this form is to add logs on certain days where the employee is not present at work but is considered working due to extended hours worked from previous days.
- Unlike official business however, this records how much time was requested. This will reflect in the time sheet for HR or the manager to audit how much out of shift hours the employee has vs offset hours requested.
- Enter offset information. Highlighted in red indicates required. Once details are completed, click Submit.
OVERTIME FORM
- This form is used to indicate that the employee has worked overtime. There are controls in place and this does not reflect solely on the employee requesting overtime. A requirement needed for this to work is that the hours rendered must be outside of their regular shift hours and the employee has been recognized by the system as working during the requested hours.
- The first criteria "must be outside of regular shift" can be recognized based on the employees shift. If the employee's shift is from 8am to 5pm, regular shift is considered to be in between 8am to 5pm.
- The second criteria "recognized by the system as working" means that there should be a corresponding official business, logs, or offset overlap. To better illustrate this, see examples below:
- Logs from 8am to 5pm with over time from 5pm to 8pm will render 0 hours overtime.
- Logs from 8am to 7pm with over time from 5pm to 8pm will render 2 hours overtime.
- official business from 8am to 10pm with over time from 5pm to 8pm will render 3 hours overtime.
- Logs from 8am to 5pm with OB from 5pm to 8pm and an over time of 5pm to 8pm will render 3 hours overtime.
Take note that rest day and rest day + over time has different multipliers. Same rules will apply for over time.

TIME LOGS FORM
- This form allows the employee to file time logs.
- Enter time logs information. Highlighted in red indicates required. Once details are completed, click Submit.
WORK REQUEST FORM
- This form allows the employee to file work request. Work requests are used for holidays and rest days only. Upon filing work request, time logs is also needed.
- If start time is holiday- should file work request
- If start time is normal day, but remaining shift will fall on holiday- automatic calculate of work request
- Enter work request information. Highlighted in red indicates required. Once details are completed, click Submit.
