This module is used to register approval policies within the company. Follow these steps to create an approval policy:
- Navigate to the Approval Policy Module
- Click the profile icon in the upper-right corner of the page and go to Administration.
- From the dropdown under Employee Information, select Approval Policy.
- Click the Add [+] button to start creating a new policy.
- Fill in the Details
- Highlighted fields in red indicate required information. Follow the steps below to configure the approval policy.
- Field Descriptions
- Company:
- Select the company this approval policy applies to.
- Use the dropdown menu to search and choose the appropriate company.
- Approval ID:
- Enter a unique identifier for the approval policy.
- This ID will be used for system references.
- Approval Name:
- Provide a descriptive name for the approval policy.
- The name should clearly indicate the purpose or scope of the policy.
- Approver Based On:
- Use the dropdown to define the criteria for selecting approvers (e.g., user, employee)
- NOTE: Please select user if the approver is from another company.
- This ensures the correct individuals are included in the workflow.
- Approval Settings
- Type:
- All: All listed approvers must approve the request for it to proceed.
- Any: Approval from any one of the listed approvers will suffice.
- Sequential: Approval must follow a specified order.
- Approver:
- Use the dropdown to add individuals as approvers.
- Ensure approvers have the necessary permissions to review and approve requests.
- Module:
- Select the module this policy applies to (e.g., leave form, daily time record).
- Add Set:
- Click "Add Set" to group multiple approvers or approval conditions together.
- Use this feature to handle complex approval workflows.
- Action Buttons
- Cancel: Discard any changes and return to the previous screen.
- Save: Save the approval policy after all required fields are completed.
- Save the Approval Policy
- Once the details are completed, click SAVE.
- A pop-up confirmation will appear to add the approval policy, click YES.
- Another pop-up will confirm that the approval policy was successfully created, click OK.
- Best Practices
- Use descriptive and meaningful names for approval policies to facilitate identification.
- Ensure approvers are aware of their responsibilities and have adequate permissions.
- Test the approval workflow before deploying it to ensure accuracy and functionality.
Viewing Created Policies
After successfully creating an approval policy, it will be displayed in the Approval Policy List. This table includes the following details:
- Company: The company the policy applies to.
- Approval ID: The unique identifier of the policy.
- Approval Policy: The name of the policy.
- Created By: The user who created the policy.
You can edit or manage the policies as needed.
Once the approval policy is created, it can be added to the requestor's Employee Information under Employee Setup. This allows the approval policy to be assigned as the designated approver for that employee.
