As part of the enhanced functionality within the Employee Information module, a new feature has been introduced to manage biometrics log entries for employees. This feature specifically applies to the First In Last Out option and allows administrators to configure the rounding of time-out entries for greater accuracy in timekeeping.


Accessing the Biometrics Log Configuration:

To configure the Biometrics Log for an employee, follow these steps:


1. Go to Administration.

2Navigate to Employee Information.

3. Select Edit Employee.

4. Under Employee Setuplocate and select Biometrics Log Configuration.

5. Choose the preferred rounding option.

Please note that this configuration only applies when the First In Last Out option is enabled.


Rounding Options:

The following rounding options are available for configuration:

  • Round Early Every 0 Minutes (DEFAULT): No rounding applied.
  • Round Early Every 15 Minutes: Time is rounded to the nearest 15-minute interval.
  • Round Early Every 30 Minutes: Time is rounded to the nearest 30-minute interval.
  • Round Early Every 60 Minutes: Time is rounded to the nearest 60-minute interval.

Affected Modules:

The following modules will be affected by the rounding configuration:

  • Employee Information (Add, Edit, View)
  • Employee Information Update Template
  • Daily Time Record Calculations

Important Notes:

  • Time-Out Cannot Be Earlier Than Time-In: When configuring time rounding, it is important to ensure that the rounded time-out entry is not earlier than the time-in entry.


Examples of Rounding Configurations:

Example 1: Round Early to 60 Minutes

  • Employee Shift: 8:00 AM - 5:00 PM
  • Time In: 8:00 AM
  • Actual Time Out: 4:59 PM
  • System Time Out: 4:00 PM

In this example, the system rounds the time-out entry to the nearest 60-minute interval.


Example 2: Round Early to 30 Minutes Past the Hour

  • Employee Shift: 8:00 AM - 5:00 PM
  • Time In: 8:00 AM
  • Actual Time Out: 7:59 PM (Overtime)
  • System Time Out: 7:30 PM

This configuration rounds the time-out to the nearest 30-minute interval.


Example 3: Round Early to the Nearest 15-Minute Interval

  • Employee Shift: 8:00 AM - 5:00 PM
  • Time In: 8:00 AM
  • Actual Time Out: 7:59 PM (Overtime)
  • System Time Out: 7:45 PM

In this setup, the time-out is rounded to the nearest 15-minute interval.


Example 4: Round Early to the Nearest 0-Minute Interval

  • Employee Shift: 8:00 AM - 5:00 PM
  • Time In: 8:00 AM
  • Actual Time Out: 7:59 PM (Overtime)
  • System Time Out: 7:59 PM

With this option, no rounding occurs, and the time-out entry remains unchanged.


Example 5: Round Early to the Nearest 60-Minute Interval

  • Employee Shift: 8:00 AM - 5:00 PM
  • Time In: 8:30 AM
  • Actual Time Out: 8:45 AM
  • System Time Out: 8:30 AM

Here, the time-out is rounded to the nearest 60-minute interval.


Saving the Configuration:

After selecting the desired rounding option, navigate to the Employee Summary page and save the changes. This will apply the selected rounding configuration to the employee’s biometrics log.
